We live in a very fast-paced world where people are overly busy. Many people spend time on their one job multitasking, and many hold down two or more jobs. But no matter how busy you may be there are simple strategies that you can use to regain some of the time that you need. Creating an efficient time management technique is challenging, but ultimately rewarding in the end.
Here are some steps to move you in the right direction of managing your time more effectively and efficiently.
1. Improve your computer literacy.
In a world driven by technology you should use your computer to help improve your time management skills. There are time management systems and software that can help you organize your specific tasks and activities and cut down on the amount of energy that you waste. It is also advisable to learn some shortcuts to getting your reports and presentations completed. For example, you can assign and use some keyboard hotkeys to complete your reports or presentations faster. There are also beginner tutorials as well as workshops that can teach you the things you need to know in your desired area of concern.
2. Improve your creativity.
Work on your creative thinking skills. This will allow you to build and develop more genius and creative ideas on how to save time doing your work. This will make you, in time, more productive and efficient through out the course of your entire day.
3. Improve problem solving and critical thinking aspects.
When you work to improve your problem solving ability as well as your critical thinking, you can spend less time on the thinking process and more time on the implementation or doing part of the process. Instead of wasting your time to process your thoughts you can use that time to focus on completing your tasks.
4. Improve delegation skills.
Learning and improving ways to delegate your work can also help you achieve good time management skills. It is almost always good to have another pair of hands to help you with your tasks and projects. This will dramatically reduce the time you spend on doing the task. Once you learn how to properly delegate tasks that you don’t need to be directly involved with, you can save time and instead focus on more pressing matters, more important matters, and more rewarding matters.
5. Improve your emotional intelligence.
When you become overly emotional, your productivity at work tends to decrease. You lose your focus and even your ability to complete your tasks. The quality of your work will likely suffer. Emotional intelligence encompasses the process of taking control of your emotions. Emotions can easily get in the way of your performance. So, the fewer emotional distractions you have the better your performance will be.
6. Improve your multi-tasking abilities.
By improving your multi-tasking abilities you should be able to complete tasks in a shorter period of time. You can work with other people to further improve and develop your multi-tasking ability. You must remember though that when you are doing tasks that require more attention or focus, it is best to avoid multi-tasking since you increase the risk of causing errors and mistakes. Also keep at the forefront of your mind that there is a limit to each person’s ability to multi-task. Be careful that you are not prolonging each task by not giving it your undivided attention. If you find that you are spending more time on tasks, losing time, or just not satisfied with the results of your multi-tasks, slow down, separate them. You want to do your best work, not just more work. And the goal is to use your time efficiently and effectively.
7. Taking regular breaks.
Other than working many hours a day in a straight forward manner, always remember to take breaks between tasks. This will help you avoid placing too much stress on your mind and body, and burn out. You might begin to notice that by the end of your day you feel overly tired or disproportionately fatigued. When you take regular breaks you refresh your body and mind. With a refreshed mind you are able to process more information more quickly and error free, and be more productive.
These are a few techniques you can employ to boost the efficacy and efficiency of howyou are using your time.
